MYOB Warehouse Software

Concurrent Software has successfully completed the seamless interfacing of MYOB accounting packages with Concurrent Software's SEQOS Warehouse Store Stock Management System. This system breakthrough introduces to the SMEs of Australian business a powerful business management tool with numerous unique features, and considerably extends the business management capabilities of MYOB accounting products.

Pricing of this new product is exceptionally attractive to the warehouse and store operator, and has never before been available in Australia for such a comprehensive warehouse and stock management system.

SEQOS is a very large warehouse and store stock management software package. Despite its size, SEQOS is very flexible. Installations with current customers range from 2 to 250 staff. Products on warehouse shelf range from small warehouses with 30 individual items, i.e. different products, to more than 90,000 different products in a single warehouse. SEQOS is used in several large warehouses operating 24/7.

The warehouse management capacity of SEQOS is limited only by the power of the computer on which it is installed. Warehouses with up to at least 30 staff can be managed by SEQOS running on a single high-end business PC. A large SEQOS installation can manage an unlimited number of warehouses, companies, products and staff. There are no imposed restraints on the storage capacity of the SEQOS relational database (RDB).

SEQOS is wholly Australian-owned and developed, and has been installed in Australia and in Asian countries for more than ten years. All installations are remotely supported by an experienced technical staff through Concurrent Software's Sydney office.

SEQOS is being constantly enhanced to maintain world's current best practice.

The SEQOS system is truly a package. Every SEQOS-managed warehouse or store uses exactly the same software, irrespective of the size of the warehouse operation and its staff. The SEQOS package is individually customised for each installation by entry into PC screens of the business and warehouse rules for a company's stock and staff management, and by entering system parameters into open stock management tables. Parameter options can be selected not only from standard tables, but each warehouse can also design its own tables, and use its own company's and industry's unique terms and expressions, to exactly match each individual warehouse's specific requirements.

SEQOS is installed on the same computer as MYOB Premier 5.0 or MYOB Accounting/Plus 11.0 (or above), and automatically interfaces to MYOB. SEQOS is transparent to the MYOB operator, who creates normal MYOB entries for Purchase Orders on suppliers, and for Sales Orders received from customers. MYOB has no role in the management of orders within the warehouse. After the MYOB operator presses the OK button to complete the MYOB order entry, MYOB simply awaits automatic data uploads from SEQOS when order processing in the warehouse has been completed.

MYOB-SEQOS Interfaced Functions. In the following example, it is assumed that RF (Radio Frequency) hand-held or forklift-mounted terminals are used by warehouse staff. Warehouse staff may alternately use Windows PCs with printed task lists for warehouse system management. MYOB is the host to the MYOB-SEQOS system configuration, with SEQOS operating as an intelligent sub-system, managing every operation of the related warehouse or store.

Built-in Simplicity. Within thirty seconds of creation in MYOB of a Purchase Order on a supplier, or a Sales Order by a customer, the order details are automatically retrieved by SEQOS from MYOB, and SEQOS initiates all the actions which will complete order processing in the warehouse or store.


Warehouse or Store Activity

1. A Purchase Order on a supplier, retrieved from MYOB by SEQOS, is filed by SEQOS to await arrival of the ordered stock from the supplier. When the stock is received, SEQOS prompts the Inward Goods operator to enter into a PC screen all the data necessary to manage that particular stock, and to print barcode label(s) to identify the stock. SEQOS then directs the stock Put away to a SEQOS-specified storage location. On completion of the warehouse operations, SEQOS immediately uploads to MYOB the inventory update, and details of the stock receipt, ready for printing through MYOB.

2. A Sales Order by a customer, retrieved from MYOB by SEQOS, is added to a queue on the warehouse's RF system, ready for the next available warehouse operator to pick the order from stock. The stock to be picked is decided by SEQOS, using the embedded business and stock management rules specific to that business and that warehouse. In the simple case, the default rule is FIFO First-In-First-Out). On completion of picking each order, SEQOS automatically uploads to MYOB the inventory update and details of the invoice, ready for printing through MYOB. Packing and despatch of the order to the customer follows completion of picking.

3. When orders are being despatched, SEQOS initiates printing of Packing Slips, which will be included with the packed orders, prints Consignment Notes (copy for the customer and copy for the transport company, including barcodes, if used by the transport company), and prints Vehicle Manifests for the truck driver. All documents can be printed on any convenient printer on the MYOB network (office, warehouse, LAN), so that the documents can accompany the goods, if that is the company's business rule.

Consulting Services

Stock Management

Every detail of stock management is incorporated into SEQOS. Supplementary records, memos, reports, and staff remembering what to do are unnecessary. Here are a few examples of frequently-used SEQOS stock management functions.

Controls, specifying how the stock is to be managed in the warehouse, can be established on receipt of each batch of stock, and then automatically maintained and applied by the system using such criteria as batch number, manufacture date, receipt date, expiry date, serial numbers (to any number of levels) Red Alert reports warn of impending past-expiry-date stock. Back Orders are automatically actioned when new stock of a product is received. Goods can be automatically quarantined while awaiting specified actions, and then released for use under specified levels of staff authority. Breakages and losses can be entered into the system by authorised personnel, with the write-off reason attached; the inventory is immediately adjusted in SEQOS, and the adjustment is uploaded to MYOB. Secured reports, for company management and auditors, identify write-offs.

Goods returned from customers can be automatically directed to a Returned Goods Awaiting Inspection (RGAI) location in the warehouse or store, to ensure that they are checked for saleability before return to stock. The attributes which had been attached to those returned goods on their original receipt, and before their despatch to the customer (e.g. date of original receipt, manufacture date, expiry date, serial number) are automatically retrieved by the system and reattached to that stock record. Numerous other automatic controls are embedded in the system.

Stock takes can be wall-to-wall, rolling, automatically scheduled. Because SEQOS knows where it has directed every item of stock to be stored, missing items are readily identified, and searches for misdirected stock can be refined. Stock counts can be entered directly into RF hand-held terminals, or into printed lists for subsequent entry into a PC screen. The number of personnel involved in counting stock is not limited to the availability of RF terminals, since staff using printed lists can count other stock simultaneously with staff using RF. A suite of stock take programs and reports provides full information to assist stock counters, and generates reports for warehouse supervisors, company management and auditors.


Staff Training Management

An exceptional feature of SEQOS, particularly in view of its comprehensive warehouse and stock management capability, is its ease and simplicity of use by the warehouse and store staff. Since each step in stock management is prompted on the operator's RF screen, and full use is made of barcode scanning for every stock management process, only a modest level of staff education is required. This ease of use translates into short training periods, high productivity, minimal human supervision and staff management, and ease of staff replacements.

While stock processing examples in this document anticipate use of RF scanning equipment in real time,many of the operating and cost-reduction benefits of SEQOS are not limited to the use of RF technology, but are also available through printed lists and reports of all system operations, and manual entry from those lists and reports into PC screens.

Every stock transaction in the warehouse is automatically recorded on a secure read-only Audit Trail in real time. Each entry in the audit trail includes the employee's ID, the date and time of the transaction, the stock ID, the transaction type, and the transaction details. This is a permanent record from which numerous reports are available, including employee productivity reports. Use of these employee reports for staff management considerably reduces or eliminates the need for task-by-task and face-to-face staff management.

SEQOS provides more than 50 standard reports, including KPI's, numerous aspects of stock and staff management, stock take management, despatch documentation, PODs. Since all data is retained indefinitely (unless deliberately purged by the system owner), daily, weekly, monthly, annual and seasonal data can be included in management reports.

MYOB and SEQOS can each be viewed as Microsoft Windows applications in the same computer or on the same network. An MYOB user can therefore readily switch from any MYOB screen to any SEQOS screen (this is the same Windows operation as switching from Microsoft Word to Microsoft Excel, for example), and can directly access the numerous SEQOS reports. SEQOS reports can be viewed on the same screen as MYOB, or can be produced on a printer used for MYOB (if desired), either locally or on a network.
